Description

The Project Support Officer will work closely with the Project Manager who is responsible for providing the broad supervision, guidance, and high-level strategy for the Project. The Project Support Officer will be responsible for the day-to-day administrative management, operations, coordination, and implementation of the Project to include identifying potential bottlenecks and proposing solutions as well as communicating and coordinating resolutions with stakeholders and partners. The person will also support the Project Manager in the preparation of the project design, work plan, budget, resources as well as the maintenance of project documentation and financial performance.

Responsibilities

  • Support Project Manager in the project planning process to deliver Project Designs and Work Plans of highest quality.
  • Provide substantive inputs to assist the Project Manager in the preparation of project completion reports and ensure compliance with contractual obligations.
  • Track expenditure and take relevant action when required to revise budgets (realignment and amendment).
  • Managing information flows, change controls, risk registers and issue management; document and feedback lessons learned and best practices.
  • Establish and monitor an internal control system for all administrative actions and maintain financial documents for audit and review processes.
  • Supervise and review submissions for Contracts, Purchase orders, Waivers, and related documents prior to final approval.
  • Alert the Project Manager of any financial shortfalls and over-expenditures.
  • Assist the Project Manager in monitoring of the project quality indicators and undertaking monthly quality assurance tasks on behalf of the Project Manager.
  • Assign activities to Project Assistants and supervise schedule management to ensure work efficiency and quality
  • Organize all project and stakeholder meetings as and when necessary and maintain records of these meetings.
  • Ensure conformity of project disbursement requests with procedures, work plans, and availability of resources for expenditure.
  • Working with the communications team to develop content for projects adverts.
  • Perform other duties as assigned by the Project Manager.

Qualifications and Experience

  • A Bachelor’s Degree in a relevant field is desired.
  • A Master’s degree will be an asset.
  • Excellent computer skills, including experience with Microsoft Office Suite
  • Effective interpersonal, management, and negotiation skills
  • Experience preparing and interpreting flowcharts, schedules, and step-by-step action plans.
  • Experience working in a project management environment, using a range of project management tools (e.g., Basecamp or Trello)
  • High attention to detail
  • Ability to analyze and present information
  • Effective time-management and organizational skills.
