The Project Coordinator is responsible for providing broad supervision, guidance, and high-level strategy for the Project. The Project Coordinator will be ultimately responsible for completing all projects under their portfolio as efficiently and promptly as possible by identifying the resources needed, managing those resources, identifying potential bottlenecks as soon as possible, and resolving those bottlenecks.


  • Managing Project Support Officers and overseeing the day-to-day activities of different project teams related to the management and implementation of the Project, including procurement, project monitoring and evaluation, financial management and progress and financial reporting.
  • Draft Terms of References and management of project contract staff, monitoring progress on deliverables under those contracts and providing feedback as necessary, and coordination of the work of the contractors consistent with the overall project implementation plan.
  • Assign activities to Project Support Officers and supervise schedule management to ensure work efficiency and quality
  • Prepare, or as appropriate supervise the preparation of, progress reports, annual reports, project completion report and other reports that may be required by the stakeholders
  • Prepare, or as appropriate supervise the preparation of, annual work plans and budgets
  • Identify implementation arrangements and needed resources to implement the project and ensure proper management of funds, including accounting, financial control and audit procedures acceptable to the Government of Sierra Leone and our development partners
  • Track expenditure and take relevant action when required to revise budgets (realignment and amendment).
  • Manage information flows, change controls, risk registers, and issue management; document and feedback lessons learned and best practices.
  • Establish and monitor an internal control system for all administrative actions and maintain financial documents for audit and review processes.
  • Supervise and review submissions for Contracts, Purchase Orders, Waivers, and related documents prior to final approval.
  • Monitoring of the project quality indicators and undertaking monthly quality assurance tasks on behalf of the Lead Project Coordinator.
  • Organize all project and stakeholder meetings as and when necessary and maintain records of these meetings.
  • In consultation with the relevant stakeholders, assist in preparing amendments of Agreements and Budget revisions when applicable.
  • Ensure conformity of project disbursement requests with procedures, work plans, and availability of resources for expenditure.
  • Working with the communications team to develop content for projects adverts.
  • Perform other duties as assigned by the Lead Project Coordinator.

Qualifications and Experience

  • A Bachelor’s Degree in a relevant field is desired.
  • A Master’s degree will be an asset.
  • Excellent computer skills, including experience with Microsoft Office Suite
  • Effective interpersonal, management, and negotiation skills
  • An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Experience of working in a project management environment, using a range of project management tools (e.g., Basecamp or Trello)
  • High attention to detail
  • Ability to analyze and present information
  • Effective time-management and organizational skills.
